Your Documents, Your Heritage, Your Peace of Mind — Protected

Behind every birth certificate, marriage record, or citizenship application is a piece of your family's story. We treat that story with the same care and discretion we'd want for our own. Whether you're a government partner reviewing our practices or a client trusting us with your documents, here's exactly how we protect what you share with us.

However You Reach Us, You're Covered

We know that sharing personal and family documents — sometimes originals that can never be replaced — takes trust. That's why every document that comes through our doors, or through our website, is protected the same way, from the moment we receive it to the moment your process is complete.

Documents Shared Online

For clients who upload documents directly through our website:

  • Protected in Transit. Every document you upload travels through an encrypted connection, so your information is shielded from the moment it leaves your device.

  • Protected in Storage. Once received, your documents live in encrypted, access-controlled systems — never sitting unprotected, never left exposed.

  • Seen Only by Your Team. Only the specific staff members working on your case can access your file. No one else at The Grant Guidance Group has a reason to look, so no one does.

Documents Shared In Person

For clients who prefer — or need — to bring original documents to us directly:

  • Handled With Care, On the Spot. During your in-person intake meeting, your documents are hand-scanned using secure, dedicated equipment. Wherever possible, your originals are returned to you immediately — we understand some records simply can't leave your hands.

  • Digitized and Protected Right Away. The moment your documents are scanned, they move directly into the same encrypted, access-controlled systems we use for online uploads. There's no gap in protection between the two paths.

  • Nothing Kept Longer Than Necessary. We don't hold on to physical copies or temporary files beyond what's needed to process your request, and anything no longer needed is disposed of securely.

  • A Team You Can Trust. Every staff member conducting in-person intake is trained in confidentiality and understands that what you're sharing with us matters — not just as paperwork, but as part of your family's history.

Our Commitment to You

No matter how your documents reach us, a few things stay constant:

  • We use your information only for your case. Your documents are used solely to support your application or record request — never shared with third parties without your authorization.

  • We only ask for what we need. We collect the documents and details required to move your case forward, and nothing more.

  • We hold ourselves accountable. Our practices are built to meet the expectations of the government agencies we work alongside, as well as the trust our clients place in us.

  • We never stop improving. As best practices and standards evolve, so do we — because protecting your information isn't a box we check once, it's something we stay on top of.

A Note on Scams

Because citizenship and passport services are sometimes targeted by scammers, we want to be direct: we will never ask you to pay by gift card or cryptocurrency, and we always communicate through our official channels with written fee schedules provided before any payment. Every document you hand us — digital or physical — represents something irreplaceable. Protecting it isn't just policy for us. It's part of how we earn the trust you've placed in your family's story.
